The administrative specialist III is responsible for coordinating office activities, research and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by the supervisor. This position is governed by state and federal laws and agency/institution policy.
Researches and analyzes data pertinent to work programs and/or agency/institution goals and objectives and prepares reports explaining findings and recommendations. Assists in developing or revising policies, procedures, and directives based on research findings; submits to supervisor for approval. Compiles financial information used by supervisor to formulate budget proposals and monitors expenditures to ensure optimum operating efficiency. Reviews and answers or prepares correspondence relating to agency/institution programs. Interprets agency administrative directives, policies, and procedures to ensure consistent application. Provides information, assistance, and clarifications to interested parties concerning agency/institution programs, policies, and procedures. Assists supervisor by maintaining leave records, appointment calendar, and prioritizing incoming correspondence. May supervise a small to medium-sized administrative support staff and evaluate the work performance of incumbents. Performs other duties as assigned.

Minimum qualifications: The formal education equivalent of a high school diploma; plus one year of specialized training in business management, business education, or a related field; plus three years of experience in specialized or a related field applicable to work performed. OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL OF THE QUALIFICATIONS REVIEW COMMITTEE.
Provide administrative support to the Vice Chancellor for Student Affairs and serve as a key support person for all student affairs departments; including entering requisitions, printing materials, proctoring tests, compiling reports, administering surveys, purchasing supplies as needed and other duties as assigned by the vice chancellor.
Responsibilities will include providing information, assistance, and clarifications to students concerning student policies and procedures; student and organizational travel; and budget, plan, publicize, and procure items for student events/activities/official functions. The administrative specialist will compose/create and disseminate both printed and electronic communication to students through digital monitors, myUACCB, the UACCB webpage and specified areas for posting information.
Oversee registration of all student organizations on campus and manage the student government elections. Maintain updates for student life; including the Student Government Association, all student organizational information, the student discount program, and the student handbook on the UACCB website. Also maintain updates for myCampus and myHelp sections on the myUACCB webpage, and post student/staff announcements on myUACCB.
Interpret contracts to provide appropriate accommodations for artists for the Performing Arts Series and student events. Schedule Children’s Theatre Performances, handle all preparation and on-sight arrangements, and submit grant applications.
The successful candidate must have excellent communication, interpersonal, computer, and organizational skills; be customer and solutions oriented with a strong commitment to customer service while maintaining compliance with policies; and possess the ability to exercise discretion. The person filling the position will be expected to multitask with minimal supervision. The position will require occasional evening hours.
